Booking & Cancellation Policy

This Booking & Cancellation Policy explains how appointments, deposits, cancellations, rescheduling, late arrivals, no-shows, model calls, and refunds are handled at Narcissus Aesthetics., P.C., doing business as narcissus aesthetics ("narcissus," "we," "us," or "our").

By booking an appointment with narcissus, you agree to this policy, our Terms & Conditions, our Privacy Policy, and any service-specific consent forms or booking terms presented to you before or at your appointment.

1. Booking an Appointment

Appointments may be booked online through Boulevard or another booking platform, by phone, by text, by email, or in person. Appointment availability is not guaranteed until your appointment is confirmed.

You are responsible for reviewing your appointment date, time, location, service selection, provider, deposit requirement, cancellation rules, preparation instructions, contraindications, and any forms sent before your visit.

We reserve the right to approve, decline, modify, reschedule, or cancel any appointment when needed, including for scheduling conflicts, provider availability, safety concerns, incomplete forms, contraindications, inappropriate booking, or clinic discretion.

2. Standard Appointment Deposit

A $75 non-refundable booking deposit may be required for standard appointments. If you attend your appointment as scheduled, the $75 deposit will be applied toward your appointment total unless otherwise stated at booking.

The deposit holds time on our schedule and helps protect provider time, room time, preparation time, and limited appointment availability. Deposits are not refunded for late cancellations, no-shows, or late arrivals that prevent us from completing the appointment.

3. Cancellation and Rescheduling Window

We require at least 24 hours' notice to cancel or reschedule an appointment. The 24-hour window is measured from the scheduled appointment start time.

If you cancel or reschedule with at least 24 hours' notice, your deposit may be transferred to the rescheduled appointment or handled according to the terms presented at booking.

If you cancel or reschedule with less than 24 hours' notice, your $75 booking deposit may be forfeited. A new deposit may be required to book another appointment.

4. No-Shows

If you do not arrive for your appointment and do not cancel or reschedule in advance, the appointment will be treated as a no-show.

No-shows forfeit the $75 booking deposit. A new deposit may be required to book a future appointment. Repeated no-shows may require prepayment, additional deposits, or refusal of future booking.

5. Late Arrivals

We allow a 15-minute late arrival grace period when the schedule allows. Arrival within the grace period does not guarantee that you can still be seen.

If you arrive late, we may shorten the appointment, adjust the service, reschedule the appointment, or treat the appointment as a late cancellation. If your late arrival prevents us from safely or properly completing the appointment, your deposit may be forfeited.

Late arrival decisions are made case by case at narcissus' discretion based on the service booked, provider schedule, room availability, safety, and the amount of time remaining.

6. Model Call Appointments

Model call appointments are limited, discounted, and scheduled for specific service, training, education, content, portfolio, or promotional purposes. Because model calls require extra planning and limited availability, different payment and cancellation rules may apply.

Model call appointments may require payment in full at the time of booking. Model call payments are non-refundable and may be forfeited if you cancel late, reschedule late, arrive too late to complete the service, do not attend, or fail to meet model call requirements.

Model call eligibility is not guaranteed. We may decline, modify, or cancel a model call appointment if we determine that the service is not appropriate, safe, or aligned with the model call criteria.

7. Appointment Reminders

Appointment reminders may be sent by text, email, phone, or through a booking platform as a courtesy. Reminder delivery is not guaranteed.

Failure to receive, read, or respond to a reminder does not waive the cancellation policy, deposit policy, late arrival policy, or any applicable forfeiture.

8. Forms, Intake, and Consent

You may be required to complete intake forms, medical history forms, consent forms, photography releases, treatment-specific disclosures, or other documents before receiving services.

You agree to provide accurate, complete, and current information. Failure to complete forms, disclose relevant medical history, list medications, identify allergies, disclose pregnancy status, disclose prior treatments, or share contraindications may result in cancellation, refusal of service, rescheduling, or deposit forfeiture.

9. Illness, Contraindications, and Safety

Please do not attend an appointment if you are sick, have a contagious condition, have an active infection in or near the treatment area, are under the influence of alcohol or drugs, or have any condition that may make treatment unsafe.

If you arrive and we determine that treatment is not safe or appropriate, we may decline treatment, modify the service, or reschedule the appointment. Deposit handling will be determined case by case based on the circumstances, timing of notice, and applicable law.

10. Provider Discretion

All services are subject to provider evaluation, intake review, contraindications, safety considerations, informed consent, and clinical judgment. Booking a service does not guarantee that the requested service will be performed.

We may recommend a different treatment, postpone treatment, require medical clearance, decline treatment, or stop treatment if we believe it is appropriate for your safety, outcome, or the clinic environment.

11. Payments and Card on File

Payment is due at the time services are rendered, products are purchased, packages or memberships are billed, or as otherwise stated at booking.

If you place a card on file through Boulevard or another payment processor, you authorize the secure storage and use of that payment method for deposits, appointment charges, late cancellation charges, no-show charges, model call payments, membership billing, products, services, and other amounts owed, subject to applicable law and the terms presented at booking or purchase.

12. Refunds

All sales are final. We do not offer refunds for completed services, booking deposits, late-cancelled appointments, no-shows, model call payments, packages, memberships, prepaid services, promotional purchases, gift cards, or products, except where required by law.

Because aesthetic results vary, dissatisfaction with a result does not entitle you to a refund. We may, at our discretion, offer follow-up evaluation, adjustment recommendations, clinic credit, or another courtesy solution, but we are not required to do so.

13. Packages, Memberships, and Prepaid Services

Packages, memberships, and prepaid services are subject to the terms presented at purchase or enrollment. They are generally non-refundable and non-transferable unless otherwise required by law.

Unused package or membership value may not be exchanged for unrelated services unless approved by narcissus. If a package or prepaid service cannot be completed due to medical contraindication, provider discretion, or another issue, narcissus may determine whether unused value remains as clinic credit or whether another lawful solution is appropriate.

14. Gift Cards and Gift Certificates

Gift cards and gift certificates purchased from narcissus for use in Washington generally do not expire and do not carry dormancy, inactivity, or service fees, except where an exception is permitted by applicable law.

Gift cards and gift certificates are redeemable for eligible products or services at narcissus. They are not redeemable for cash except where required by law. We are not responsible for lost, stolen, damaged, or unauthorized use of gift cards or gift certificates, unless replacement is required by law.

15. Respectful Clinic Environment

We are committed to maintaining a safe, respectful, and professional environment for clients, providers, staff, and guests.

Harassment, threats, abusive conduct, discriminatory behavior, inappropriate recording, refusal to follow clinic policies, or disrespect toward staff, providers, other clients, or the clinic environment may result in refusal of service, cancellation of appointments, removal from the clinic, forfeiture of deposits or prepaid amounts where permitted by law, and refusal of future booking.

16. Courtesy Exceptions

narcissus may choose to make a one-time courtesy exception to this policy in limited circumstances. Any courtesy exception is discretionary and does not waive our right to enforce this policy in the future.

17. Policy Updates

We may update this Booking & Cancellation Policy from time to time. Updated versions will be identified by a new "Last updated" date. Continued booking or use of our services after an update means you accept the updated policy.
